When you develop software for the workplace, teammate feedback informs a lot of important decisions — from the functionality and design of the software, to release cycles, pricing and more. If teammate feedback isn’t available for this purpose, it’s nearly impossible to make informed business decisions.
For one company, the lack of direct feedback from teammates made it difficult to gauge the success of its software products. The company’s employee engagement team was struggling to predict user sentiment and lacked a way to take action on any feedback received from teammates.
Wanting to improve its employee experience and better support its teammate engagement team, the company decided to work with Insight on a solution. It was essential for the teammate engagement group to be able to gather, access and report on teammate feedback. In addition to serving teammates better, it was important for this team to be able to report on their findings and for leadership to have visibility into the number of teammates receiving support.
A mobile solution for a global audience
With more than 200,000 teammates in locations all over the world, the client needed a solution that could be used on tablets, mobile phones and desktops anywhere. Their overall wish list for this project included:
- An app that could add multiple evaluation items in four different service areas
- Automated workflows to create trackable tasks
- The ability for managers to add comments to an evaluation from a Power BI® report
- The ability to send posts to specific channels in Microsoft Teams®
- The ability to determine how many teammates are being served via a dynamic process that continually updates the number of direct reports for each teammate
In order to execute their vision, Insight proposed leveraging the client’s existing investment in Microsoft® Office 365® and the Power platform. With tools like Power Apps®, Power Automate®, Power BI, Teams and Planner, Office 365 offered the right functionality to meet all of the requirements for this solution.
Multiple workloads, one platform
Since the company had already deployed Office 365 to all of its employees, it made sense to take advantage of the full range of applications included in its Office 365 licenses. For this reason and for its ease of use, we advocated using SharePoint® Online for the client’s data store. We selected Planner as the task management solution and used Power Automate to track the status of Planner tasks, determine the number of direct reports and send posts to Teams.
The direct report tracking initiative in Power Automate was especially challenging. The client’s existing solution required the engagement team to manually add direct report numbers. However, something in the process just wasn’t adding up — the final results were yielding very inaccurate total direct report counts.
The accuracy of the direct report count metric was especially critical for upper management, who planned to determine the success of the entire program based on the number of clients impacted. In order to measure the results of this engagement, we had to ensure this metric was accurate. So, our team used Power Automate to write a complex flow that calculated the number of direct reports for each teammate — with up to six levels of hierarchy.
By the end of the project, the Insight solution also included the following features:
- A Power Automate flow that creates tasks based on evaluation options selected in the Power App
- A Power BI report that allows managers to slice the data according to several filters
- The ability for managers to submit comments to the engagement team on changes required to a particular evaluation (would send an email to the engagement team with the comment and all pertinent information)
Using teammate feedback to deliver a better experience
With the new solution in place, the employee engagement team is now able to provide a better support experience for teammates. The new solution also includes executive reports and dashboards, giving leadership greater visibility and more accurate reporting. Finally, the integration with Planner and Teams has made communicating much easier. Thanks to the power of the Office 365 platform, we were able to leverage the client’s existing investments to build the right solution, on time and within budget.
